Application process for accreditation of training and development materials and events

We invite organisations to self-assess their resources against a set of accreditation principles and provide examples of evidence to demonstrate how their training and development materials and events meet these principles.

All training and development materials and events for accreditation review must meet our principles and where possible, all materials submitted should be in final draft. It is essential that submitted materials have undergone quality checks. This also includes any potential ‘mock ups’ of where the relevant RPS accreditation logo is to be positioned, any pictures and formatting of the text etc.

Step-by-step guide to making an accreditation application

  • Complete the application and send all documentation related to the submission for review to accreditation@rpharms.com (download the RPS Accreditation pack)
  • Upon receipt of an application, the RPS accreditation team will make preliminary checks to ensure suitability for accreditation and that all documents have been completed. Should there be any inconsistencies with the application, the applicant will be contacted within 5 working days. If the application is unsuitable for accreditation or does not meet the accreditation principles, the RPS accreditation team will inform the applicant at this stage and will not progress further with the accreditation. Feedback is provided to the applicant on  the next stages of the process
  • Applicants will be invoiced by the RPS Finance department and payments are to be made within 30 days. Where the application is deemed unsuitable for accreditation, a full refund is made less an administration charge of £150.
  • For information on our fees for accreditation, please email accreditation@rpharms.com In exceptional circumstances there may be an additional fee for re-review if changes made to the training resources are extensive. This will be discussed at the relevant time.
  • Applications will then be sent to an independent RPS reviewer who will have relevant expertise (both from an educational and training perspective as well the subject area), against defined RPS accreditation reviewer principles and criteria. Generally the review process takes about 2-3 weeks.
  • A written report will be produced based on the submission with a recommendation 'to accredit’, ‘to accredit with conditions’, or ‘not to accredit’
  • Where a submission is returned to the applicant ‘to accredit with conditions’, amendments and re-submission should be made within 4 weeks

Successful applications will be granted accreditation (RPS, Foundation, Faculty as appropriate) and will be sent:

  • a licence letter for use of the accreditation logo that will be signed by both parties
  • a copy of the RPS accreditation logo and brand guidelines
  • All accredited training and development materials and events will be signposted on our website
  • The final copy of the accredited training materials with the relevant RPS logo must be sent to the RPS accreditation team for approval and recording purposes within 4 weeks
  • The RPS accreditation process can take up to 4 weeks however urgent applications can be considered on a case by case basis
  • Organisations are responsible for providing an annual update to maintain their accreditation

This will involve submitting an annual update (using the proforma provided), which should outline:

  • number of users of the training materials
  • details of any changes to the training*
  • a report of the management and quality assurance systems
  • a report of any QA issues or problems

*if substantive changes are made to the training, it may need to be resubmitted for accreditation.

  • At the end of the accreditation period, organisations will be required to apply for reaccreditation of their training to maintain accreditation and this will involve a new submission and review against the accreditation principles and will incur the full accreditation fee. For further information on our fees for accreditation, please email accreditation@rpharms.com

Application process to become an accredited training provider

Application to become an accredited training provider is based on the following steps:

  • Determine which type of accreditation is being sought; RPS, Foundation, Faculty. The RPS accreditation team invites applicants who require advice or support with the application process to contact them at accreditation@rpharms.com
  • Submit completed application forms to accreditation@rpharms.com

Initial checks are made by the RPS accreditation team and feedback is provided to the applicant on the next stages of the process

  • Applicants will be invoiced by the RPS Finance department and payments are to be made within 30 days. For information on our fees for accreditation, please email accreditation@rpharms.com
  • Application is sent to an independent RPS reviewer who will have relevant expertise (both from an educational and training perspective as well the subject area), against defined RPS accreditation reviewer principles and criteria
  • Review is carried out on the application and a feedback report is produced by the reviewer and forwarded to the RPS accreditation team providing comment on the overall application and recommendations for the short, medium and long term. The RPS team will liaise with the reviewer(s) before arriving at a final decision. Generally the review process takes about 4-6 weeks. The review process may take longer if an accreditation visit to the applicant organisation is required.*
  • Once the application review is complete, outcomes are formally communicated by the RPS accreditation team to the applicant organisation. On confirmation of accreditation the RPS will issue:

a reviewer feedback report and action plan to cover the duration of the accredited term

a certificate of accreditation that can be displayed as evidence by the accredited training provider

the relevant accreditation logo and guidelines for use of the logo

a licence agreement letter to authorise use of the logo

 

  • Where accreditation is declined, the reviewer’s feedback report will be forwarded to the applicant organisation, providing the applicant with an opportunity to consider the feedback and make a resubmission within an agreed time frame at the discretion of the RPS accreditation team
  • All accredited training providers are recognised for their high quality educational, training, research and evaluation, leadership and management resources and programme(s) and are signposted to on the RPS website.

 

  • Training provider accreditation is valid for a period of up to five years with annual reviews that report on progress, delivery and any changes to ensure that RPS accredited initiatives are up to date and reflect current practice and information and in line with the bespoke training provider action plan.
  • If you choose to be accredited for 3 or 5 years, in the interim period, you will submit an Annual Update report to the RPS outlining:
  • Details requested in the Accreditation Report Action Plan (issued at the point of accreditation)
  • Any changes to the programme (including changes to Foundation Programme Assessments)
  • Any changes to staffing structure within the organisation (staff involved in education / training / support of Foundation pharmacists)

 Report of any QA issues or problems

  • At the end of the 1, 3 or 5 year accreditation period then the organisation is required to apply for reaccreditation

 

  • If the annual report is not completed, with no reporting against action plans, then the RPS reserves the right to retract the RPS accreditation.
  •  Review of the annual update report will be undertaken by the accreditation independent review and final decision will be at the discretion of the RPS team.
  • The RPS accreditation team reserves the right to undertake an accreditation visit to the accredited training provider to verify that actions are being met.*

The purpose of an accreditation visit to a training provider is to

  • provide the RPS accreditation team with assurances that the training provider can meet the agreed accreditations principles
  • to clarify details submitted as part of an application
  • to ensure progress, delivery and content is current and in line with the training provider’s action plan

Visits may also be recommended as part of the Final Foundation Accreditation Report for a number of reasons, including:

to celebrate the success of the Foundation School

to meet and obtain feedback from Foundation pharmacists and staff involved in Foundation Training (at a Foundation Training Centre)

to support organisations to meet recommendations made in their Final Accreditation Report

to clarify details submitted as part of an application

 

 

Occasions where an accreditation visit may be warranted

  • where a training provider is unable to submit key evidence pertaining to their submission eg not in electronic format, not permissible to be shared externally
  • where a training provider is in the first instance denied accreditation but has been given the opportunity to resubmit within an agreed time frame
  • where there has been a change in training provision or training delivery  or where the  training provider’s infrastructure has changed significantly that the provider’s commitment to training provision has been affected since  its accreditation was granted
  • where the training provider has not successfully delivered on their action plan

This list is not exhaustive. Accreditation visits are optional and undertaken at the discretion of the RPS accreditation team.

 

Accreditation visits will be considered on a case-by-case basis and can be scheduled before or after the accreditation decision has been reached, dependent on the circumstances and specific purpose of the visit.

The accreditation visit can be conducted face-to-face, by teleconference or webinar.

An independent accreditation reviewer will attend the accreditation visit and be accompanied by a member of the RPS accreditation team to ensure that the review process is being followed.

A reviewer feedback report will be forwarded to the training provider following the accreditation visit.

Application process for Foundation Schools

Application process to become a Foundation School

Using the RPS Foundation School Principles of Accreditation, you will be invited to undertake a self-assessment and provide examples of evidence to demonstrate how your programme, and/or education and training meets these principles. 

Applicant accesses details of the RPS Foundation Accreditation process on the RPS website. 

Applicant contacts the RPS by emailing the RPS Accreditation team at accreditation@rpharms.com

Advice and support is provided by the RPS Foundation team to facilitate the application process, including this guidance document which details:

  • Foundation accreditation principles
  • Relevant evidence needed to support the application process
  • Format of submission
  • Fee structure as relevant 
  • Explanation of roles and responsibilities of people involved in supporting Foundation Training

Organisations submit their Foundation accreditation application via the accreditation@rpharms.com mailbox with completed forms (including payment form).

Initial checks are made by the RPS Accreditation team and feedback is provided to the applicant organisation on the next stages of the RPS Foundation accreditation process.

Applicants will be invoiced by the RPS Finance department and payments are to be made within 30 days. There is an additional fee for re-assessment if changes made to the training programme/materials are extensive.

A RPS Foundation accreditation review is carried out by a chosen RPS Foundation Accreditation reviewer who holds relevant expertise, against the defined RPS Accreditation Reviewer principles. This process usually takes 6-8 weeks.

An interim RPS accreditation report is prepared by the Foundation Accreditation reviewer and forwarded to the RPS Accreditation team.

RPS Foundation team and RPS reviewer hold a teleconference (or face-to-face meeting where possible) with the applicant organisation, where the interim report is discussed. There is the opportunity for the applicant organisation to add / amend submission at this time.

RPS independent reviewer finalises the report and forwards to the RPS Foundation team.

Final administration check performed by the RPS Foundation team.

Outcomes are communicated by the RPS Foundation team to the key contact from the applicant organisation, with next steps and follow-ups. The applicant will receive:

  • Accreditation letter
  • Final accreditation report
  • Notable dates and deadlines document
  • RPS Foundation School agreement
  • Trade Mark licence agreement for RPS Foundation Schools
  • Template of Trade Mark licence agreement for RPS Foundation Training Centres
  • RPS Foundation Programme branding guidance

Successful organisations, providers or centres confirm the RPS Foundation accreditation by signing and returning the agreements issued by the RPS (listed above).

The RPS issues a RPS Foundation School Certificate of Accreditation, which can be displayed by the applicant organisation.

All organisations provide an annual update, in addition to interim information, as detailed in the ‘Notable Dates and Deadlines’ document.

Applicant organisations are recognised for their high quality education and training programme through signposting on the RPS website.

Lists of all RPS Foundation accreditations are presented to the RPS Faculty Accreditation Panel at the Accreditation Panel’s (half yearly) meetings in March and in September, as part of the RPS Faculty governance processes. The Accreditation Panel will submit reports to the RPS Faculty Board and subsequently to the Assembly.
